Get Your Entire Choir on ChoirMate
You've created your choir in ChoirMate. Now comes the most important part: getting your members on board. ChoirMate uses invitation links and codes to connect people to the right choir, safely and simply.
How Invitations Work
Every choir in ChoirMate has a unique invitation link and a 12-digit invitation code. They do the same thing: let new members connect to your choir. You choose whichever works best.
🔗 The invitation link
Easiest for members. They tap the link and the app opens automatically. Perfect for sharing via email, messages, or social media.
🔢 The invitation code
A 12-digit code (e.g. ABCD-EFGH-IJKL) that members type into the app. Handy to announce at rehearsal, write on a whiteboard, or send via text message.
ℹ️ Important: The invitation link must be opened on a phone or tablet, not on a PC. The app is not available for desktop computers.
Where to Find the Link and Code
In the app: Go to "Your choir" and scroll all the way down to the bottom of the page. You'll find both the invitation link and the invitation code there. Tap to copy and share.
You can also find sharing instructions by tapping "Copy to clipboard", which gives you a ready-made message to send to the choir.
Tips for Getting Everyone on Board
Announce it at rehearsal
The most effective way to get everyone on board. Display the code on a screen or whiteboard, and give people a few minutes to download the app and connect while they're there.
Send an email with the link
Email the invitation link to the whole choir. Briefly explain what ChoirMate is and what they'll find there (practice files, calendar, sheet music). The more specific you are, the more people will download.
Send a reminder
Some people need a nudge. Send the invitation twice, a week apart. Mention something specific that's already in the app, like sheet music for the next concert.
Recruit a helper per voice section
Ask one person from each voice section to help others in their group get started. Many people prefer getting help from someone they know.
Security: Keep the Invitation Within the Choir
The invitation link and code give access to your choir. Only share them with people who should actually be members. If you suspect a link has been shared too widely, you can generate a new one.
🔑 How to regenerate the link: Go to choir settings, scroll to "Invitation link and invitation code", and tap "Generate a new invitation link and code". The old link and code stop working immediately. You can only do this once every 24 hours.
When Members Need Help
Some common issues you can help with:
"I can't join"
Most likely they haven't verified their email address yet. Ask them to check their inbox (and spam folder) for the verification email from ChoirMate.
"I accidentally created a new choir"
This happens when someone selects "Create choir" instead of "Join choir". Contact customer support to delete the accidental choir. Then the person logs in again and uses the invitation code to join the correct one.
"I used the wrong email when I registered"
Ask the person to log out and log in with the correct account. If they need to change their email address, customer support can help.
"A former member wants to rejoin"
If you've removed someone from the choir and they need to rejoin, they just need to log in with their existing account and use the invitation code again. Their account still exists in the system.
