Managing Your Group Subscription

Change the plan, capacity, billing, payment method, or cancellation status

The choir owner and admins can review the group subscription in ChoirMate. Plan and billing changes are completed in the secure account portal.

Open the subscription portal

    Sign in on the web

    Open web.choirmate.com, sign in as the owner or an admin, and select the correct choir.

    Open Subscription

    Find the Subscription card on the dashboard and select its action. ChoirMate opens the account portal for that choir.

In the app, open Your choir, select the settings icon, open the menu in the top right, and select Subscription. The app shows the current plan, capacity, payment status, and included features. Payment or plan changes continue in the browser when an account-portal action is available.

Only the owner and admins can see the management controls. An individual Premium subscription is managed separately through the App Store or Google Play.

Change the plan, capacity, or billing period

For an active Paddle subscription, select Change subscription in the account portal. You can choose:

  • Standard or Premium
  • a capacity that covers the active membership
  • monthly or annual billing

ChoirMate asks Paddle for a live preview before you confirm. The preview shows any amount charged or credited immediately and the amount and date of the next renewal. Annual billing costs about 17% less than monthly billing for the same plan.

Change subscription is not shown during a trial. Some legacy, invoice, or specially arranged subscriptions are also managed with ChoirMate support instead of the self-service selector.

The new access and capacity take effect when Paddle accepts the change. Content is not deleted when moving from Premium to Standard, but Premium-only tools stop being available according to the new entitlement.

Update the payment method

Select Update payment information in the account portal. Paddle opens a secure checkout for the replacement payment method. The same action is highlighted if a payment is overdue.

If the payment is declined, check that the card permits international online payments. A bank may treat the Paddle charge as a foreign purchase. Resolve an overdue payment promptly to avoid an unintended downgrade.

Manage storage add-ons

When the choir has purchased extra document storage, the account portal shows it below the group plan. You can increase or reduce the amount, but it cannot be reduced below the storage currently in use. Contact support to cancel the storage add-on completely.

Storage changes are also previewed before confirmation. Any immediate charge or credit is shown in the portal.

Cancel the group subscription

    Check the repertoire limit

    ChoirMate Free currently supports up to 15 repertoire songs. The cancellation flow will ask an admin to reduce the repertoire to that limit before the group subscription can be scheduled to end.

    Select Cancel subscription

    Open the subscription in the account portal and select Cancel subscription. For current subscriptions, follow the instructions to contact ChoirMate support. Some older subscriptions continue through the billing provider's cancellation page.

    Check the end date

    When cancellation is scheduled, the portal shows the date the paid plan ends and ChoirMate Free begins. The subscription page also shows that no further payment is scheduled.

The paid features remain available until the displayed end date. Choir data such as songs, files, member profiles, events, and messages is not deleted when the plan changes to Free.

If a choir reaches Free through an expired or failed subscription while it is above a Free limit, ChoirMate can restrict affected features until an admin reduces the content or starts a paid plan. The account is not deleted or permanently frozen.

To reverse a scheduled cancellation before the end date, contact support@choirmate.com.

Invoice subscriptions and receipts

If the choir pays by invoice, plan changes and cancellation are handled with ChoirMate support. Invoice requests and payment status use the billing email entered in the account portal.

For self-service subscriptions, Paddle sends purchase and renewal receipts to the billing email. If a receipt is missing, search for mail from Paddle and check the billing address before contacting ChoirMate support.
