Keep Track of Your Entire Choir

Phone numbers in an old spreadsheet. Birthdays in someone's calendar. Addresses scattered across emails. Sound familiar? With ChoirMate, you collect all member information in one place, always up to date and easily accessible.

What You Can Collect

As an administrator, you choose which details you want from your members. Go to Manage group → Members → Configure, and enable the fields you need.

Call or message members directly from the members list.

Handy for holiday cards, letters, or planning carpools.

Date of birth

Celebrate birthdays in the choir. Shows up in the calendar and on event days.

You can also write a short reason for each field, so members understand why you're asking. For example: "We collect addresses so we can send holiday cards."

Easy for Members

When you enable fields, members get a reminder in the app to complete their profile. They see a badge in the menu showing how many fields remain. Tap, fill in, done.

Members choose who can see their information. They can share with the entire choir, with leadership only, or keep it private. This way everyone feels comfortable entering their details.

Birthdays in the Choir

When members share their date of birth, birthdays can appear automatically in the choir. You control how this is displayed under Manage group → Settings:

  • 👁️Visible — Birthdays show in the members list and on the dashboard.
  • 📅On event days only — Only shown when there's a rehearsal or concert that day.
  • 🚫Hidden — Birthdays are not shown to others.

Only date and month are shown. Age is only visible if the member has chosen to display it.

Once members have shared their information, you'll find everything in one place. Tap a member in the members list to see contact details, date of birth, and more. Phone numbers can be tapped to call or message directly.

No more searching through old spreadsheets. The information is always up to date because members maintain their own profiles.

Tips for Getting Started

Start with the most important fields. Phone number and date of birth are usually the most useful. You can always add more fields later.

Write a reason for each field. When people know why you're asking, they're more likely to fill it in.

Send a message to the choir explaining what you've enabled. A personal request gets a better response than the automatic reminder alone.
